Privacy Policy

When you use WardForge, we collect only the data strictly necessary for the service to function:

• Discord User ID — to identify you and manage your subscription.
• Discord Server ID and structure — channels, roles, and configuration, used exclusively for the backup system.
• Email address — collected by Stripe for billing and subscription management. We never store it directly on our servers.
• Usage logs — anonymised event logs (threats blocked, commands executed) for security monitoring and service improvement.

We do not collect message content, voice data, or any other personal data beyond what is listed above.

• Operating the bot and providing its security features (anti-phishing, anti-raid, moderation).
• Managing your Premium subscription via Stripe.
• Restoring server backups on your request.
• Sending transactional emails related to your account (invoices, subscription changes).
• Improving the service through anonymised analytics.

Your data is never sold, rented, or shared with third parties for commercial purposes.

All data is stored on servers located in the European Union, operated by providers compliant with GDPR requirements.

We implement technical and organisational security measures including encryption in transit (TLS), access controls, and regular security audits to protect your data against unauthorised access, loss, or alteration.

Server backup data is encrypted at rest and is only accessible to authorised WardForge systems.

• Active subscription: data is retained for the duration of your subscription.
• After cancellation: data is deleted within 30 days, unless you request earlier deletion.
• Server backups: retained until manually deleted by the server owner or upon account deletion.
• Security logs: anonymised logs are retained for a maximum of 90 days.

We use the following third-party services, each with their own privacy policies:

• Stripe — payment processing and subscription management. Stripe processes your payment information and email address as an independent data controller.
• Discord — the platform through which WardForge operates. Your use of Discord is governed by Discord's Privacy Policy.

As a data subject under the GDPR, you have the following rights:

• Right of access — request a copy of the data we hold about you.
• Right of rectification — request correction of inaccurate data.
• Right of erasure — request deletion of your data at any time.
• Right to restrict processing — request that we limit how we use your data.
• Right to data portability — receive your data in a machine-readable format.
• Right to object — object to certain types of processing.

Our landing page uses only technically necessary cookies (session management). We do not use tracking or advertising cookies. No third-party analytics scripts are loaded without your consent.

We may update this Privacy Policy from time to time. Any material changes will be notified via our Discord support server and reflected by an updated date at the top of this page. Continued use of WardForge after changes constitutes acceptance of the revised policy.
